Housing society management software is a system that records every plot and file, the member who owns it, the installment plan, payments received and each transfer. We build custom society management systems for Pakistani developers and society offices, with installment ledgers, transfer workflows, dealer allocations, member portals and SMS or WhatsApp reminders included.

Key takeaways

  • Pakistani societies need file, transfer and installment logic that generic property or accounting tools handle poorly.
  • Core modules: plot inventory, booking, installment ledger, transfers, dealers, dues, member portal, reports.
  • Role-based access and an audit trail on every transfer reduce disputes and duplicate-file risk.
  • Off-the-shelf subscriptions start from a few thousand rupees a month; custom builds cost more but fit your rules.

What housing society management software is and who needs it

In most Pakistani societies, the real record of who owns what lives in registers, Excel files and the memory of two senior clerks. That works until a transfer is disputed, a dealer sells the same file twice, or overseas members ask for a statement at midnight their time. A society management system makes the record single, searchable and auditable.

Who uses it

  • Developers launching new schemes who sell files and plots on installments through dealer networks.
  • Established society offices handling transfers, NDCs, possession, maintenance dues and member services.
  • Cooperative housing societies that need member registers, elections data and fee collection.
  • Apartment and commercial projects with unit-level inventory and monthly service charges.

If your main need is selling, with leads, agents and site visits, start with our real estate CRM. Society software focuses on what happens after a booking.

What's included in our society management system

Plot and file inventory

Blocks, plot numbers, sizes (marla/kanal), categories like corner or park-facing, and status from open to possession.

Plot booking

Booking forms, token payments, allotment letters and file numbers generated with unique IDs.

Installment management

Payment plans, due dates, surcharges, receipts and a full ledger per member.

Transfers and ownership history

Transfer requests, document checklist, fee calculation, approval steps and a permanent ownership chain.

Dealer allocations

Files allocated to dealers, sales against allocations, commissions and dealer statements.

Dues and maintenance billing

Monthly charges, arrears, NDC status and bulk bill generation.

Member portal and reminders

Members view statements and dues online; SMS or WhatsApp reminders before each due date.

Reports and audit trail

Collections, defaulters, inventory, dealer performance, and a log of who changed what.

Larger developers often add accounts, purchasing and construction tracking from our ERP software modules.

Our process

  1. Rules workshop

We document your installment plans, surcharge rules, transfer fees, document checklists and approval levels.

  2. Data audit

We review existing registers and spreadsheets for duplicates, missing CNICs and conflicting ownership before anything is migrated.

  3. Scope, prototype and fixed quote

Screens for front desk, accounts, transfer branch, management and members; written scope signed before build.

  4. Build and test with real cases

We replay past transfers and payments through the system to confirm ledgers match your records.

  5. Migration, training and parallel run

Staff train on-site; old and new systems run side by side for a short period until totals reconcile.

  6. Support

Bug-fix period, backups, and an optional maintenance plan for rule changes and new phases.

Mistake we see often

Migrating messy data as-is. If two files share one plot in Excel, they will share it in the new system too. Cleaning data is part of the project, not an afterthought.

Pakistan-specific considerations

Files, open forms and transfers

Pakistani schemes often sell files before plots are balloted. The software has to track an unallocated file, link it to a plot at balloting, and keep every transfer of that file in one chain. Transfer fees, NDCs and biometric or in-person verification steps should be configurable per society.

Approvals and buyer trust

The Lahore High Court has directed that private housing scheme ads display an NOC and a QR code so buyers can verify the scheme. Storing approval documents in the system and showing verified status on the member portal builds confidence, especially with overseas buyers.

Payments and reconciliation

Members pay by bank deposit, cheque, IBFT, and increasingly mobile wallets. We add bank-slip references and can connect online payments; see our guide to JazzCash and Easypaisa integration.

Reminders on WhatsApp

Installment reminders count as utility messages on the WhatsApp Business Platform, which Meta bills per delivered message. ProPakistani reported Pakistan's utility rate at about USD 0.015 per message from October 2026. For a few thousand members a month, that is a small cost against late-payment surcharges recovered. Details in our WhatsApp CRM integration page.

Data security

Member files contain CNIC copies and payment history. Pakistan has no enacted general data protection law yet, but PECA 2016 penalises unauthorised use of identity information. We use role-based access, export logs and off-site backups.

Societies selling new phases usually pair the system with lead capture for file sales. That front end comes from our lead management software, fed by real estate Facebook ads and the wider real estate marketing work we run for developers.

Housing society software pricing

There are two routes. Subscription products aimed at Pakistani real estate list plans from around PKR 3,499 per month, with plot management, payment schedules and member records. Custom builds cost more upfront: one Pakistani software house publishes multi-module systems at PKR 150,000 to 400,000 and ERP-scale work from PKR 400,000. A full society system with transfers, dealers and a member portal usually sits in the upper part of that range.

Frequently asked questions

How much does housing society management software cost?

Subscription tools for Pakistani real estate start around PKR 3,499 per month. Custom systems cost more upfront; published Pakistani prices for multi-module software range from PKR 150,000 to 400,000, with ERP-scale builds above that. Plan for annual maintenance too. We quote a fixed price after reviewing your rules and data.

How long does it take?

A core system with inventory, booking and installment ledgers can be ready in a few weeks. Transfers, dealers, member portal and data migration add time, so full projects usually take a few months. Data cleaning is often the longest step, and we agree the timeline in writing before starting.

What do you need from me to start?

Your plot or file list, installment plans, surcharge and transfer fee rules, sample transfer documents, current registers or spreadsheets, dealer agreements and a list of staff roles. Assign one person who knows the transfer process well; they will save weeks of back-and-forth.
